How to use Pab Cuam

Plain-English instructions for funeral coordinators, family members, and volunteers. Take your time — the tool saves as you go, and nothing is shared publicly.

1. Create the funeral record
From "Funeral records", choose "New funeral record". Fill in the person’s name and dates, the venue, and the family contact. Only the name and one way to reach the family are required — you can add the rest later. When you save, the system generates a Funeral ID such as HMNG-FUN-2026-0001. You may type your own ID instead if your temple already numbers its records.
2. Enter donations as they arrive
Open the funeral and press "Record a donation". Pick the donation type (money, check, online, food, drinks, paper goods, flowers, supplies, volunteer time, other), describe the item, enter the quantity and unit, and — if you wish — an estimated value per unit. The total is calculated for you. Choose who received it and whether the donor wishes to stay anonymous. If the same donor, item, quantity, and date are already recorded, the tool warns you before saving a duplicate.
3. Watch the running summary
The dashboard totals everything as you go: donors, entries, monetary donations, the estimated value of goods and volunteer time, gifts received today, and anything still pledged or awaiting pickup. Donations are grouped by type, and top donors are listed with anonymous gifts held out of the list.
4. Export or share the report
Use "Export to Excel (.xlsx)" or "Export to CSV (.csv)" to download the donation list. Both respect the filters you have set, so you can export everything or just one day, type, or person. The Excel file includes a summary sheet with totals by type and category, and the header row stays frozen while you scroll. "Print or share" opens the print dialog — choose "Save as PDF" to email a copy to the family.
5. Close out the record
When a funeral is finished, an administrator or its coordinator can press "Archive record" on the funeral dashboard. Archived records move to an "Archived records" section, their donation entries are locked so nothing changes by accident, and only administrators can open and unarchive them. The same people can also switch a record between "Public" (family members may view the donation summary without an account) and "Private" (administrators and coordinators only). Each record shows a colored status badge — green Public, amber Private, slate Archived — on the list and on the dashboard.
6. Plan the funeral budget (optional)
Open "Budget & Burial Calculator" from the top menu to plan expenses for a funeral with burial in the United States. Add the items the family chooses (funeral home, cemetery, cultural or religious arrangements, food, venue, transportation, memorial items, and your own) with low, expected, and high prices. Items left blank show "Not yet estimated", never $0. Enter the money already received, payments made, and pledges to see the estimated additional funding needed. Food, supplies, and volunteer hours are never counted as cash. The calculator is a planning preview: it is not linked to a funeral record and never changes the donation ledger. Use "Save draft on this device" to keep your work in this browser, and delete the draft on a shared computer. The family summary can be downloaded as CSV or printed.

Working without internet

Funeral halls often have poor reception. If you lose connection while recording a donation, the entry is saved on your device and syncs automatically as soon as the internet returns — a banner at the top of the page shows how many entries are waiting.

About the exports

  • Dates are written as YYYY-MM-DD (for example 2026-10-20).
  • Money and values use two decimal places.
  • Phone numbers keep their leading zeroes.
  • The CSV file is UTF-8, so Hmong/RPA characters and special punctuation display correctly.
  • Anonymous donors are listed as “Anonymous” with contact fields left empty.
  • Every export is recorded in the export log with who downloaded it and how many records.

Who can do what

Every funeral record carries a colored status badge: Public (green, open to family viewers), Private (amber, administrators and coordinators only), or Archived (slate, closed and administrator only). Each record is also visible only to the administrator and the staff assigned to it. Administrators assign staff on each funeral’s edit page, and each person’s assignments are listed on the Staff page. Records are public by default; an administrator or the funeral’s coordinator can make a record private on its dashboard or edit page, and can archive finished records. To correct a donation, an administrator or the funeral’s coordinator presses Edit at the end of its row in the donations table; volunteers see Edit only on the entries they recorded. Every edit is listed in the activity log, and archived records cannot be edited. Anyone viewing a record can tap or click a donation to read all of its details; on a phone the donations appear as a list of cards, and the details window also holds the Edit and Delete buttons for people allowed to use them.

RoleWhat they can do
AdministratorFull access: every funeral record — public, private, and archived. Create, edit, and delete funerals and donations, archive or unarchive any record, set records public or private, manage staff accounts and funeral assignments, export all data.
Funeral coordinatorCreate funerals and manage donations on the funeral records they are assigned to; set those records public or private and archive them; view contact details and export reports for them. Archived records are administrator-only, so unarchiving is an administrator action. Administrators assign coordinators on each funeral’s edit page.
VolunteerAdd donations and edit the entries they recorded themselves, on assigned funerals that are public. Private and archived records are limited to administrators and coordinators. Cannot delete records, archive records, or export contact information unless the administrator grants it.
Family representativeView-only summary of donations on records that are public and not archived. Contact details and internal notes are hidden. No account needed — simply don’t sign in.

Privacy notice

Pab Cuam collects donation information on behalf of the temple for one purpose only: coordinating funeral support, preparing acknowledgments, and reporting to temple leadership. We do not sell, advertise against, or publicly display donor information.

Donor contact details (phone numbers and email addresses) are visible only to signed-in staff — coordinators, administrators, and volunteers assigned to that funeral. Family view-only access hides contact details and internal notes. Anonymous gifts are recorded but the donor’s name is never displayed or exported. Records are open to family viewers by default; administrators and coordinators can make a record private with one press, and archived records are visible to administrators only.

Staff accounts are protected with passwords of at least 12 characters, including an uppercase letter, a lowercase letter, a number, and a symbol. Accounts created with the earlier short passcodes are asked to choose a new password the first time they sign in. Passwords are stored only as salted hashes.

The very first time the ledger is used, the initial administrator’s starter name and password are shown on the sign-in page so someone can get in and set things up. That reminder disappears automatically after the first successful sign-in — change the password on the Staff page right away.

Administrators may export records as spreadsheets; every export is logged with the person who made it, the date, and the number of records included. Donation records are kept only as long as the temple needs them for accounting and acknowledgments, then removed at the family’s or the temple’s request.
